Task List

Stay on top of your event planning with a centralized task list. Track who’s doing what, monitor progress, and keep your team aligned—whether it’s vendor coordination for a wedding, decoration setup for Diwali, or activity planning for a college fest.

See every task across your event in one place, with status badges, due dates, and assignee info at a glance.

How to get there: Dashboard > All Tasks

  1. Open your event from the dashboard.
  2. Tap the Tasks tab or icon in the sidebar.
  3. You’ll see all tasks listed with their current status (To Do, In Progress, Hold, Done, Closed).

Quickly find a task by name when your list grows long.

How to get there: Dashboard > All Tasks > Search field

  1. Tap the search field at the top (magnifying glass icon).
  2. Type the task name or keyword (e.g., “catering” or “invitation design”).
  3. Results filter instantly as you type.
  4. Tap the X button to clear the search.

Narrow your list to see only tasks assigned to you, unassigned items, or specific team members.

How to get there: Dashboard > All Tasks > Filter button

  1. Tap the filter icon (funnel shape) next to the search bar.
  2. The filter sheet opens with two tabs: Status and Assignee.
  3. Tap Status to filter by task states (In Progress, Hold, Done, etc.).
  4. Tap Assignee to select:
    • Me — your own tasks
    • Unassigned — tasks with no owner yet
    • Specific team member names
  5. Search within filters using the search field.
  6. Tap Apply Filters to show only matching tasks.
  7. Active filters appear as badges below the search bar. Tap the X on any badge to remove it.

Add a task to your event’s task list.

How to get there: Dashboard > All Tasks > + button (floating action button)

  1. Tap the + button in the bottom-right corner.
  2. You’re taken to the task creation screen.
  3. Enter the task name, description, due date, and priority.
  4. Assign team members and set a status.
  5. Tap Save to create the task.

The new task appears in your task list immediately.

Move tasks through their lifecycle (To Do → In Progress → Done) as work progresses.

How to get there: Dashboard > All Tasks > Task card > Status button

  1. Find the task in your list.
  2. Tap the status badge (e.g., “To Do”, “In Progress”) in the top-right of the task card.
  3. A dropdown menu shows allowed transitions (you can’t move directly from To Do to Done).
  4. Select the new status.
  5. If the task requires proof of completion (e.g., decorated hall photos), an attachment dialog opens. Upload required files and tap Submit.
  6. The task’s status updates instantly.

Understand what a task depends on, what it unlocks, and how it connects to other work.

How to get there: Dashboard > All Tasks > Task card > Relationship icon

  1. Look for the relationship icon (lock, link, or duplicate symbol) on a task card.
  2. Tap it to open a bottom sheet showing:
    • Blocked By: Tasks that must complete first
    • Blocks: Tasks waiting for this one to finish
    • Relates To: Connected work
    • Duplicates: Tasks that overlap
  3. Each relationship shows the related task’s due date, assignee, and current status.
  4. Tap the task name to jump to its details.

Add team members to a task or change who owns it.

How to get there: Dashboard > All Tasks > Task card > Assignee section

  1. In a task card, find the Assignee row showing profile pictures or “Unassigned”.
  2. Tap the assignee avatars or the Unassigned button.
  3. A screen opens showing your team members.
  4. Tap a name to assign them (checkmark appears).
  5. Tap again to deselect.
  6. Tap Save or Apply to confirm.

The assignee is updated immediately and they receive a notification (if enabled).

If a task has subtasks, see how many are done and track nested work visually.

How to get there: Dashboard > All Tasks > Task card with subtasks

  1. A task with subtasks shows a progress bar and percentage (e.g., “60%”).
  2. The percentage reflects how many subtasks are completed.
  3. Tap the expand icon (chevron down) at the bottom-right of the card to reveal all subtasks.
  4. Each subtask shows its own status, due date, and assignee.
  5. Tap a subtask to edit it, or tap Update Subtask to modify details.

Pull down to reload tasks and sync the latest changes from your team.

How to get there: Dashboard > All Tasks > Swipe down

  1. Swipe down from the top of the task list.
  2. A loading spinner appears.
  3. Tasks refresh and sync with the server.
  4. Release to dismiss the spinner.

A subtle background refresh indicator also shows when Velora is syncing changes automatically.

“I can’t move a task to the next status” — Your task is blocked by another task that hasn’t completed yet. The red lock icon shows which task is blocking it. Resolve the blocker first, then try again.

“I don’t see new tasks my teammate just created” — Pull down to refresh the list. Tasks sync automatically within a few seconds, but manual refresh ensures you see the latest.

“The assignee I want isn’t in the dropdown” — They haven’t been added to your event yet. Go to Team Members and invite them first.

“A subtask isn’t showing progress correctly” — If subtasks don’t have states assigned, the progress bar shows 0%. Make sure each subtask has a status (To Do, In Progress, Done).

“I see a duplicate task relationship I didn’t create” — This may have been set during task import or by another organizer. Tap the relationship icon to see details and contact your co-organizer if it’s incorrect.
