QR Scanner for Event Check-In
Section titled “QR Scanner for Event Check-In”Use the QR scanner to check in guests and volunteers at your events and activities. This screen handles high-volume scanning with real-time validation, offline support, and automatic syncing to your event records.
Starting a Scan Session
Section titled “Starting a Scan Session”How to get there: Event Dashboard > Activities > Select an activity > Open Scanner
- Tap the activity you want to scan for.
- Grant camera permission when prompted (required to use the scanner).
- Wait for the scanner to initialize — you’ll see a loading screen briefly.
- The scanner is ready when you see the purple-tinted camera feed with a scan window in the center.
Scanning a Single Ticket

- Point your camera at the attendee’s QR code (printed on their ticket or shown on their phone).
- Keep the code inside the purple scan frame until the scanner beeps.
- Green frame + success sound = ticket is valid and checked in.
- Red frame + error sound = ticket is invalid, expired, or already scanned.
- The scanner automatically resets after 2 seconds and is ready for the next guest.
Checking Multiple Entries from One Ticket

- After a valid multi-entry ticket scans, the Select Entries panel appears below the scanner.
- The panel shows your available entries and how many you’ve already used.
- Tap any number circle (1–10) to confirm that many people entering.
- The scanner resets and is ready for the next guest.
- If more entries are available, the panel updates to show the remaining numbers.
- Tap X (clear button) if you need to cancel and rescan.
Using the Flash Light

- Tap the Flash icon (lightning bolt) in the top-right toolbar.
- The device’s flash turns on (icon shows filled lightning).
- Use the flash when scanning in low-light or outdoor evening venues.
- Tap again to turn off the flash.
Checking Ticket Details
Section titled “Checking Ticket Details”How to get there: Scanner screen > Tap the Help icon (question mark)
- Tap the Help icon in the top-right corner.
- A Ticket Enquiry screen opens showing all registered attendees for your event.
- Search by name, ticket ID, or phone number to verify guest information before or after scanning.
- Tap Back to return to the scanner.
Syncing Scans to Your Dashboard
Section titled “Syncing Scans to Your Dashboard”How to get there: Scanner screen
- Look for the Sync button in the top toolbar (next to the connection indicator).
- If syncing automatically, you’ll see “Syncing…” and a spinner.
- Tap Sync to manually force an upload of all pending scans.
- Once complete, a green confirmation message appears briefly.
- Your dashboard updates with the latest check-in counts.
Toggling Feedback (Sound & Color)

- Tap the Color Feedback icon (palette) to toggle the green/red frame animations.
- Tap the Sound Feedback icon (speaker) to toggle the beep sounds.
- Disable both in quiet venues (libraries, hospitals, silent auctions) or enable both in loud outdoor events.
Viewing Scanner Logs (Troubleshooting)
Section titled “Viewing Scanner Logs (Troubleshooting)”How to get there: Scanner screen > Tap the Debug Info icon (bug icon in orange)
- Tap the Debug Info button (orange bug icon) in the top-right toolbar.
- A bottom sheet opens showing:
- Scanner Context: Activity, event, and location details
- Public Keys: Encryption keys used for QR validation
- Hash Map: Cached activity lookup data
- Runtime Stats: Total scans, synced, and pending records
- Tap Copy All to copy all debug information to your clipboard (useful for support requests).
- Tap Close to return to scanning.
Troubleshooting
Section titled “Troubleshooting”“Camera permission denied” — The app cannot access your device camera. Go to your phone’s Settings > Apps > Velora > Permissions > Camera and enable it. Restart the app afterward.
“Scanner initialization error” — The app couldn’t load scanning services. Tap Retry on the error screen. If it persists, restart your phone and ensure you have at least 100 MB of free storage.
“Ticket not found” or “Already scanned” — The QR code is valid but this guest was already checked in, or the code is from a different event. Ask the guest to confirm they haven’t been scanned yet. If it’s a duplicate entry, the system prevents double check-ins automatically.
“Invalid token format” — The QR code is damaged, partially obscured, or from an older batch. Ask the guest to show a clearer version or check if they have a physical backup ticket.
“Offline mode” — Your device has no internet connection. Scans still work and will sync automatically when you’re back online. The connection status (green/red dot) shows your current status.
Scanner keeps freezing or resetting — Clear the app cache (Settings > Apps > Velora > Storage > Clear Cache) and try again. If this continues, reinstall the app.
