Event Organizer Tools and Dashboard

Manage everything about a single event - guests, tickets, forms, and messages - from one dashboard, and share the guest list with the people helping you run it.

  • You need the Organizer role on the event, or a Co-organizer invitation. Co-organizers can use every tool described here, but cannot delete the event or change billing details.
  • The event must already be created. A draft event works fine; some tools will simply show empty results until guests are invited.
  • If you run events under a community, open the event from that community’s event list so you stay in the right context when you navigate back.
  1. Open the event dashboard. From your events list, select the event you want to work on. The dashboard opens with the event’s header details at the top, quick actions below it, and the full set of management tools underneath. Everything for this event lives here: guests, tickets, forms, communications, and settings. The page loads with the details it already has and quietly pulls the latest version from the server in the background, so a cover image or a renamed event updates on screen a moment after you arrive. If the event has been cancelled, the dashboard makes that clear and limits actions that no longer apply. Once an event is marked completed, you may be asked for quick feedback about how it went.

  2. Check who is coming. Open Who’s Coming? from the event’s guest tools. You get a live summary of how many people were invited and how many have said they are coming, followed by the guest list itself. What appears depends on the RSVP visibility you chose in the event settings: full attendance status, only the people who are coming, headline counts with no names, or the invited list without any RSVP status. If the panel looks emptier than expected, that setting is usually the reason, not missing data.

  3. Share the guest list with your team. From the guest list, choose the option to share it. Search for the person by name or email, pick them from the results, and choose the level of access they should have. You can also set a date and time when their access ends, up to a year ahead. Confirm to send the invitation. The people you share with can view the list without being given full control of the event.

The numbers or details look out of date. The dashboard shows what it already knows first, then refreshes in the background. Give it a few seconds. If figures still look wrong, leave the event and open it again, which forces a fresh read. Guest counts on Who’s Coming? are pulled each time you open the screen.

I manage several events and keep losing my place. Each event has its own dashboard, and going back always returns you to the list you came from: your organizer event list, or the community’s event list if the event belongs to a community. If you arrived at an event from a link or a confirmation screen, going back still returns you to the list rather than the page you came through.

A co-organizer cannot do something I can. Co-organizers have nearly the same access as you, with two exceptions: they cannot delete the event, and they cannot change billing. Everything else, including guests, tickets, forms, and messaging, is available to them.

Someone I shared the guest list with has lost access. Check whether the access end date you set has passed. Share the list with them again and either extend the date or leave it open-ended.

I cannot find a person when sharing. The search runs shortly after you stop typing. Try their full email address. If they have no account yet, invite them to the event first, then share the list.
