Add Edit Task

Tasks keep your event organized by breaking down work into manageable pieces. Use this screen to create new tasks, edit existing ones, and organize them into smaller subtasks—perfect for tracking vendor deliverables, decoration setup, catering coordination, or guest management across your Diwali party, wedding, or corporate event.

How to get there: Event Dashboard > Tasks > + Add Task

  1. Tap the + Add Task button to open the task creation form.
  2. Enter your Task Title (e.g., “Book caterer”, “Arrange seating”, “Confirm guest list”).
  3. Add a Description to capture details, deadlines, or special instructions.
  4. Link the task to relevant Activities (e.g., “Catering”, “Venue Setup”, “Guest Management”).
  5. Scroll down and tap Save to create the task.

After your task is created, you’ll see a success message. Most organizers then add subtasks to break down the work further.

How to get there: Event Dashboard > Tasks > Select a task > Edit

  1. Open the task you want to modify.
  2. Update any field: Title, Description, or linked Activities.
  3. If you need to change subtask activities, ensure they match the parent task’s linked activities (see warning below).
  4. Tap Save to apply changes.

The app automatically syncs your updates across all team members viewing the event.

Subtasks break larger work into smaller, assignable pieces. For instance, “Book Caterer” might have subtasks like “Get 3 quotes”, “Compare menus”, and “Confirm final headcount”.

How to get there: Task detail screen > + Add Subtask

  1. Tap + Add Subtask at the bottom of the task detail screen.
  2. Enter the Subtask Title (e.g., “Get catering quotes”).
  3. Link it to Activities already linked to the parent task (you can’t use different activities).
  4. Add a Description and due date if needed.
  5. Tap Save Subtask.

To edit an existing subtask:

  1. Find the subtask in the list.
  2. Tap the subtask to open it.
  3. Modify details and tap Save.

To mark a subtask complete:

  1. Locate the subtask in the list.
  2. Tap the checkmark icon next to the subtask name.

“Subtask activities don’t match parent task” — You’ve added activities to a subtask that aren’t linked to the parent task. Update the parent task to include those activities, or edit the subtask to remove the mismatched activities before saving.

“Task won’t save” — Check that the Title field is filled in and at least one Activity is linked. All required fields must be complete before saving.

**“Changes aren’t syncing to my team” ** — Wait 10–15 seconds after saving. If others still see old data, ask them to refresh their app by swiping down on the task list or closing and reopening the event.

“Can’t find a task I created earlier” — Tasks are sorted by activity or due date. Use the search bar or filter by Activity to locate it. If you created a draft task and closed the app without saving, it may have been discarded.
