Activity Participation Report

See who attended your event activities and how engaged they were. This report helps you understand which activities drew the most interest, measure attendance patterns, and identify your most engaged participants — essential for planning future events and improving activity scheduling.

Accessing the Activity Participation Report

How to get there: Dashboard > Reports > Activity Participation Report

The Activity Participation Report opens with an empty state. You must select an event first to see any participation data.

  1. Tap the event dropdown at the top of the report.
  2. Choose the event you want to analyze from the list.
  3. The report automatically loads all activities and their participation data for that event.

Once you select an event, you’ll see:

  • A summary card showing total participants, total activities, and average attendance
  • An activity grid with detailed participation numbers for each activity
  • Filters to drill down into specific data

The Activity Participation Report includes powerful filtering so you can focus on the insights you need.

  1. Scroll to the Advanced Filters section below the summary.
  2. Tap on any filter category (Activity Type, Time, Registration Status, etc.).
  3. Select the filters you want to apply — you can choose multiple options.
  4. The grid updates instantly to show only matching activities.

The activity grid shows one row per activity with columns like:

  • Activity name and type
  • Total registrations
  • Actual attendance count
  • Attendance percentage
  • Check-in status
  1. Scroll right on mobile to see all columns.
  2. Tap any activity row to see individual participant names and their check-in times.
  3. Tap the column visibility icon (eye icon) in the controls section to show/hide columns based on what matters to you.

Need to share this data with co-organizers, vendors, or for your records?

  1. Scroll to the controls section above the activity grid.
  2. Tap Export as CSV.
  3. Choose your preferred format and date range.
  4. The file downloads to your device and can be opened in Excel, Google Sheets, or any spreadsheet app.

At the top of your data, the Summary shows:

If participants are still checking in to activities:

  1. Pull down on the screen (or tap the refresh icon) to reload the latest participation numbers.
  2. The report updates with current attendance and check-in data.

For events with many activities, the report displays 10 activities per page.

  1. Scroll to the pagination controls at the bottom.
  2. Tap Next to see more activities, or jump directly to a page number.
  3. Use this to browse large event datasets without overwhelming the screen.

“No activities found for this event” — The event you selected has no activities added yet, or all activities have ended. Add activities to your event or select a different event that has activity data.

“Select an event above to load its activity participation data” — You haven’t chosen an event yet. Tap the event dropdown at the top and select the event you want to analyze.

Report takes too long to load — For events with 500+ activities, loading may take 5-10 seconds. This is normal. The data is loading in the background. Try refreshing after a few moments if the shimmer persists.

Filters aren’t working or showing old data — Pull down to refresh the report. Filters apply to the current loaded data, so refreshing ensures you’re filtering against the latest participation numbers.

Export file is empty or partial — Try exporting again with fewer filters applied, or reduce the date range. Very large exports (10,000+ rows) may need to be split into smaller chunks.
