Event Organizer Tools on Velora

The Event Organizer page is your command center for managing every aspect of an event. It combines a visual event header, quick-action cards for common tasks, and detailed management tiles organized by category. From here you can manage the agenda, tasks, committees, invitations, media albums, guest lists, vendor booths, games, and more.

How to Get There

Organizer Dashboard > Tap any event card > Opens the Event Organizer Page

Or navigate via: All Tools > Reports or any event link that points to the organizer view.

Page Sections

Event Header

The top section displays your event’s cover image, name, and current status. If the cover image has been recently updated, the page automatically fetches the latest version.

• The header adapts its height based on content.
• A refresh mechanism runs on page load to ensure you see the most current event data.
• If the event is Canceled, certain action tiles are disabled.

Quick Actions

A responsive grid of action cards for the most common tasks. The grid adjusts columns based on screen width (2 columns on mobile, 3 on tablet, 4 on desktop).

Action	Description
Agenda	Open the event schedule planner. Add, edit, and reorder activities.
Tasks	Manage event-related tasks. Assign to team members and track progress.
Enquiry	Collect service needs from vendors and attendees. (Coming soon)
Proposal	Manage vendor proposals and offers. (Coming soon)
Committee	Organize your event team into committees with roles and responsibilities.
Issue Passes	Issue passes via cash or online mode. (Premium events only)

Steps to Use Quick Actions

1. Scroll down past the event header.
2. Tap any action card to navigate to that tool.
3. For Agenda, you will be taken to the Agenda Management page for this event.
4. For Committee, you will see team members organized by committee.

Tip

For large Indian weddings, use the Committee feature to assign family members to different responsibilities — food, decorations, guest reception, transport. Each committee member can access relevant event tools.

Management Section

Below the quick actions, the Manage section contains detailed management tiles grouped by function:

Tile	Description
Invitations	Create and share digital invitations. Manage invitation templates and track delivery.
Media	Manage photo albums. Create albums, upload photos, and control visibility.
Guests	View and manage your guest list. Track RSVPs and attendance.
Booths	Set up and manage vendor booths for exhibitions and fairs.
Tambola	Set up Tambola (Housie) games for entertainment during the event.
Award Ceremony	Configure award ceremonies with categories and nominees.

Steps to Manage Invitations

1. Tap the Invitations tile in the Manage section.
2. Create a new invitation or select an existing template.
3. Share invitations via WhatsApp, SMS, email, or link.

Steps to Manage Media

1. Tap the Media tile.
2. View existing albums or create a new one.
3. Upload photos and set album visibility (Public, Protected, Private).

Tip

For Diwali corporate parties, create separate albums for “Decorations,” “Team Photos,” and “Performances.” Set the “Team Photos” album to Protected so only verified attendees can view them.

Canceled Event Handling

When an event is in a “Canceled” or “Cancelled” state:

• The status is detected and flagged across the page.
• Certain action cards may be visually dimmed.
• The isEventCancelled flag is passed to all child sections to prevent modifications.

Data Refresh

The Event Organizer page automatically refreshes event data when:

• The page first loads (fetches latest from API).
• You navigate back from an editing screen.
• The cover image or event details have been updated elsewhere.

Pull-to-refresh is supported on the scrollable content area.

Troubleshooting

Cover image shows an old photo after uploading a new one

The page fetches fresh data on load, but the old image may be cached by the browser or app. Wait a moment and pull down to refresh. If the issue persists, clear the app cache.

Some action cards are greyed out

If the event is in “Canceled” status, management actions are disabled to prevent changes to a canceled event. To re-enable them, change the event status back to an active state.

Page shows a loading spinner that never stops

Check your internet connection. The page requires an API call to fetch event data. If the issue persists, navigate back and re-enter the event.

Cannot find the Issue Passes tile

The Issue Passes action only appears for Premium subscription events. If your event is on the “freemium” plan, this tile is hidden.

Event data appears stale after editing

The page invalidates its cache and re-fetches when you return from editing. If you edited in a different browser tab, refresh the organizer page manually.
