Track Event Performance and Export Reports

Section titled “Track Event Performance and Export Reports”

Monitor how your event is doing: ticket sales, gate scans, and form responses, then take the numbers with you as a file.

  • You need the Organizer role on the event. Organizers see the full picture across sales, guests, forms, and scanning. Team members with narrower roles see only their own slice.
  • The event should already exist and have at least one ticket type or form published. Reports for an event with no activity will open, but they will be empty.
  • If you want scan data, at least one activity (a gate, session, or door) needs to be set up for the event.
  1. Open All Tools. From your dashboard, go to the All Tools screen. This is the single place that gathers everything you manage for your events: creating events, guest lists, tasks, rewards, live voting, and reporting. The card you want is Reports, described as sales and scanning reports.

  2. Choose the kind of report. Selecting Reports asks you which view you want. Sales reporting covers tickets sold, revenue, and the breakdown by ticket type. Scanning reporting covers check-ins: who arrived, when, and at which gate. Pick whichever question you are answering right now. You can come back and switch without losing anything.

  3. Pick the activity you want scan numbers for. If you asked for scanning data, you land on a list of today’s activities for events you own, co-organize, or contribute to. Each card shows the activity name, the event it belongs to, its scheduled window, and a status of Live or Upcoming. Choosing an activity narrows the report to that gate rather than mixing every door together.

  4. Read the numbers while they update. Sales and scan counts refresh as they come in, so the figures you are looking at during doors open are current rather than a snapshot from when you opened the screen. You do not need to back out and re-enter to see new check-ins.

  5. Export. When you have the view you want, export it. You choose the format: CSV if you are taking it into a spreadsheet or sending it to a finance or venue contact, JSON if it is feeding another system. The export reflects the filters currently applied, so set the activity and date range before you export rather than after.

  6. Open the scanner directly if you need to. From an activity card, Start Scan takes you straight into the scanner for that gate. It is available on activities that are Live, and on Upcoming activities that have been set to allow early scanning so you can open a door ahead of schedule.

Someone on my team sees different numbers than I do. That is expected. What each person sees is scoped to their role on the event. Organizers see all events they own, co-organize, or contribute to. Door staff see only the activities they are rostered for on that day. If a teammate reports missing data, check their role on the event before assuming the report is wrong.

The activity list is empty, or it bounced me back. The list only shows activities scheduled for today on events you are attached to. If there is nothing rostered, you get a short message saying there are no active activities and you are returned to the previous screen. Confirm the activity’s date and that you are listed on the event.

The times on activity cards look off by several hours. Activity start and end times are shown exactly as the server stored them rather than converted to your device’s time zone. This is deliberate so everyone working the same event reads the same clock. Compare against the event’s scheduled time rather than your phone.

Numbers stopped moving. Reload the screen. If you refreshed the page in a browser, the app re-fetches the activity roster from scratch and you may see a brief loading spinner before the list reappears.

My export is missing rows. The file matches what was on screen when you exported. Widen the date range or clear the activity filter, confirm the on-screen totals look right, then export again.

Start Scan is greyed out. The activity is Upcoming and has not been set to allow early scanning. Either wait for its start time or enable early scanning in the activity’s settings.
