Guest List Report

Track your event’s attendee status, RSVP counts, and guest details in one centralized view. This report gives you a clear picture of who’s coming to your event, helping you manage seating, catering, and logistics with confidence.

How to get there: Dashboard > Reports > Guest List Report

  1. Navigate to the Reports section from your dashboard.
  2. Select Guest List Report from the available reports.
  3. The system loads your guest data automatically—you’ll see a summary card at the top showing total guests, RSVPs, and attendance status.

The top of the report displays key numbers at a glance:

  • Total guests invited to your event
  • Confirmed RSVPs
  • Pending responses
  • Declined invitations

This helps you quickly assess your event’s capacity and plan catering quantities, seating arrangements, and table configurations for weddings or large corporate events.

How to get there: Guest List Report > Filter Section

  1. Tap the Filter section to reveal available filter options.
  2. Select a guest status or attribute (e.g., “Confirmed,” “Pending,” “VIP”).
  3. The guest grid updates instantly to show only matching records.
  4. To clear filters, return to the filter section and deselect your criteria.

Your guest list appears as a sortable table below the filters. You can:

  1. Scroll right to see additional columns (contact details, dietary restrictions, table assignment, notes).
  2. Tap any column header to sort guests alphabetically or by status.
  3. Review key information: name, RSVP status, phone number, and custom fields you’ve added during guest import.

For corporate events or college fests, this grid helps you cross-reference attendee lists with check-in records.

If your event has many guests, the report splits them across pages.

  1. Scroll to the bottom of the list.
  2. Tap Next to view more guests, or Previous to go back.
  3. The page counter shows your current position (e.g., “Page 1 of 5”).

How to get there: Guest List Report > Controls Section

  1. Open the Guest Controls section near the top.
  2. Choose your action:
    • Export as CSV — Download guest data for spreadsheet analysis or vendor sharing
    • Send reminder — Notify pending guests to confirm their attendance
    • Update status — Bulk-change RSVP statuses for groups of guests

For Diwali or wedding events with deadline pressure, batch actions save hours of manual work.

“No guests appear in the report” — Your event may not have any guests added yet. Return to Guest Management and import or manually add attendees. Also check that your filters aren’t hiding all guests.

“Guest counts don’t match my spreadsheet” — Verify that duplicates weren’t created during import. Use the filter by phone number or email to find and review similar names.

“Refresh isn’t showing new RSVP updates” — Your guests may not have confirmed yet, or their responses haven’t synced. Wait a few minutes and try refreshing again, or check your SMS/email sending status.

“Can’t see all columns I need” — Scroll horizontally in the guest grid. If a column is missing entirely, you may need to add it during guest field customization.

“Pagination is slow with 1000+ guests” — This is normal for very large events. Consider filtering by status (e.g., “Confirmed only”) to reduce the visible list and speed up browsing.
