Create Invitation

Create custom digital invitations for your events with personalized messages, media, RSVP options, and guest workflows. You can design from scratch or use pre-built page templates.

How to get there: Dashboard > Your Event > + Create Invitation

  1. Enter the invitation title in the Title field — this appears as the main heading (e.g., “You’re Invited to Our Diwali Celebration”).

  2. Write your message in the Message field — keep it warm and clear. Include the key details guests need (e.g., “Join us on November 1st for music, food, and celebration!”).

  3. Choose how to design your invitation:

    • Tap Use Default Template to apply Velora’s standard layout.
    • Tap Upload Media to add photos, videos, or PDFs (required for custom visuals).
    • Tap Use Page Template (if enabled) to pick a pre-designed layout from your library.
  4. If uploading media: Tap the Upload button in the media section. Select images, videos, or PDFs from your device. Wait for the green checkmark — uploads must complete before you save.

  5. Select the occasion (e.g., Wedding, Birthday, Diwali) and view style (Standard, Flip, Scroll, Swipe, or Backdrop with custom background image).

  6. Pick activities from the dropdown — select all that apply (e.g., “Dining,” “Music,” “Games”). Tap checkboxes next to each activity or Select All for event-wide invitations.

  1. Set the location — choose Event Location and enter the venue name, Online for virtual events, or To Be Announced if details aren’t final.

  2. Add contact details (optional) — enter a phone number. Tap the country code button to change from India (+91) to another country if needed.

  3. Add optional notes in the Notes field — these appear as fine print (e.g., “Dress code: Traditional” or “Parking available”).

  4. Enable RSVP if you want guest responses. Choose between Default (Yes/No/Maybe), 2 Options (Yes/No only), or 3 Options with custom labels. If custom labels, replace the default text (e.g., “Going” instead of “Yes”).

  5. Set the RSVP deadline — guests can’t respond after this date. Pick a date at least 3–5 days before your event.

  6. Create a custom invitation link (optional) — enter a short, memorable handle in Invitation Handle (e.g., diwali-2024-celebration). This becomes part of your invitation URL. Leave blank for an auto-generated link.

  7. Set URL expiration date (only if you created a custom handle) — choose when the invitation link becomes inactive. This defaults to a few days after your event ends.

  8. Configure guest name display — reorder and toggle which guest name fields appear on the invitation (Salutation, First Name, Last Name, etc.). Drag to reorder; toggle switches enable/disable.

  9. Assign a guest workflow (optional) — pick a workflow template if you want guests to fill custom forms or answer selection questions after RSVP.

  10. Set invitee rules:

  • Enforce Unique Invitees: Only one registration per phone number (recommended for paid events).
  • Input Guest Details: Require guests to provide names and contact info.
  • Require Ticketing: Guests must have a valid ticket to register.
  1. Add a reminder (optional) — set a date and time for Velora to send a reminder to guests (e.g., 2 days before the event).

  2. Review your invitation by tapping Preview in the top-right. Check the title, message, media, and layout.

  3. Tap Save to create the invitation. You’ll see a success message, and the invitation is now ready to share.

How to get there: Dashboard > Your Event > Invitations > Tap the invitation you want to edit

  1. Review the current details — the form loads with all existing settings (title, message, media, etc.).

  2. Make your changes — update any field (title, activities, RSVP labels, contact, etc.).

  3. If changing the custom link: You’ll see a warning that the old link will deactivate. Confirm you want to proceed — make sure to reshare the new link with guests who haven’t responded yet.

  4. Add or remove media — tap + to add files, or tap the × on a thumbnail to remove it.

  5. Tap Save — your changes go live immediately. Guests see the updated invitation the next time they open the link.

“Media is uploading…” — Your file is still being uploaded to Velora’s servers. Wait for the green checkmark before saving. If it takes more than 2 minutes, try uploading again or choose a smaller file.

“This URL is already taken” — The custom handle you chose is in use. Try adding a date or location (e.g., diwali-2024-bangalore instead of diwali).

“Activities is required” — You haven’t selected any activities. Either pick one or more activities, or enable “Event-wide” to include all activities automatically.

“Invitation end date cannot be earlier than event date” — Your custom URL expiration is before the event ends. Set it to at least the day after your event.

“RSVP deadline is required” — You enabled RSVP but didn’t pick a deadline. Select a date in the RSVP Deadline field (usually 3–5 days before the event).

“Please upload at least one media file” — You selected Upload Media but didn’t add any files. Tap the upload button and pick at least one image, video, or PDF.
